What ongoing costs should we plan for?

Plan for the services needed to keep your system dependable: managed web hosting, monitoring, maintenance, backups, and support according to your business needs. Software subscriptions, third-party services, and API usage may also apply.

We identify expected recurring costs in the proposal and agree the coverage separately. Systems Care provides an ongoing support relationship; hosting and other services are included only when specified in your agreement.

How do we know whether better software is worth the investment?

Start with the cost of the current process: staff time, rework, delays, missed follow-ups, and limits on how much work you can handle. Compare the improvement you can reasonably achieve with the cost to build, run, and support the solution. We help define a useful baseline and measurable outcomes before deciding what to build. Estimate the value of time tied up in routine work.

Who is the right fit for this work?

We work with midsize and larger businesses when the operational problem justifies the investment. Ops CRM Foundation typically runs $20,000+. For a specific need inside an existing system, Build Assist blocks typically run $8,000+; a Discovery Phase typically runs $5,000+. We look for a defined outcome with enough business value to support the build and ongoing costs.

Can we start with one process instead of a large project?

Yes. We can phase a Foundation or Connected Operations engagement around the most valuable workflow first. If the need is one defined improvement within an existing system, a Build Assist block may be a better fit. The Discovery Phase defines priorities and a practical first phase. Each starts with a written scope and an agreed investment.

What will a project cost, and how long will it take?

Ops CRM Foundation typically costs $20,000+. Connected Operations and integration programs typically cost $50,000+. Systems Care for systems we have built is typically $4,000+ per quarter. Discovery confirms the exact scope, phases, and timing; complex migrations or integrations may require a higher investment. Small, undefined hourly jobs are not our default offer. How is Build Assist different from Ops CRM Foundation?

Build Assist is a fixed sprint block for one defined outcome inside an existing system, typically $8,000+. Ops CRM Foundation is a broader implementation engagement building on Discovery Phase, with core CRM workflows, access, reporting, user reviews, and launch, typically $20,000+. Assist can support a past build or establish a useful next step toward a larger engagement.

Is AI included in every package?

AI is included only when it is explicitly scoped. It can be a defined add-on to Foundation or Connected Operations, or assessed during the Discovery Phase, starting at $5,000+. Discovery covers use cases, dependencies, tool options, and human-review requirements. Any pilot is explicitly scoped. Production rollout and ongoing usage costs are agreed separately.

Yes. The AI Knowledge Partnership is an ongoing quarterly advisory engagement, quoted after discovery. It includes monthly briefings on developments relevant to your business, opportunity reviews, a shared backlog, quarterly roadmap review, and scheduled advisory time. What business problems can AI help us solve?

Useful starting points include finding answers in approved company information, summarizing documents, extracting details from incoming requests, drafting routine communications, and helping route work to the right person. We connect those capabilities to an actual business process, with a clear outcome and a way to review the result.

How is tailored AI different from a general chatbot or an AI feature in our software?

The difference is the connection to your operation. A tailored solution can use approved company information, follow your terminology and workflow, and work with the systems your team already uses. Instead of repeatedly explaining the same context and copying results between tools, your team gets assistance within the work itself.

Does every workflow need AI?

No. Predictable calculations, business rules, and straightforward data transfers are often best handled by conventional software or automation. AI is useful for work involving language, varied documents, and information that does not arrive in a consistent format. We combine the approaches where they make the overall process more useful and dependable.

How do you approach company information and AI?

We start by deciding which information the tool may use, who may access it, and where it can be processed. Provider choices, retention settings, permissions, and deployment are part of that design. Can we review AI-generated work before it takes action?

Can you build around how our business actually operates?

That is the starting point. We learn your roles, records, approvals, exceptions, and reporting needs, then design around the work. A CRM, internal application, dashboard, or AI-assisted workflow should help your team carry out the process with less friction and clearer accountability.

Will the new system connect to the tools we already use?

Often, yes. APIs, webhooks, exports, and permitted database access can provide useful ways to connect systems. We check what each tool supports, including permissions, data quality, and vendor limits, before promising an integration. The aim is to reduce duplicate entry and keep useful information moving.

Do we have to move everything to the cloud?

No. We work with cloud, on-premises, and hybrid environments. Existing infrastructure, access, security, operating costs, and available AI services help determine the right approach. Some capabilities depend on external services; we make those dependencies clear when planning the solution.

Will we have to replace everything or stop working during the transition?

We aim for a practical transition that keeps the business moving. That may involve connecting existing tools, moving one workflow at a time, validating imported records, and running old and new processes together for a period. The migration and rollout plan should be part of the project, with any expected disruption identified in advance.

Systems Care supports systems we have built, typically at $4,000+ per quarter. The agreement defines hosting, monitoring, backups, a small-improvement hours bank, and a priority response window. Larger changes require a change order or new phase.
